KayaPush: Workforce Management & Payroll
KayaPush is an excellent workforce management solution for small and mid-sized operators that want to get up and running quickly without building custom systems. Its strength is simplicity. Scheduling, time tracking, onboarding, and payroll preparation are all available out of the box, making it a strong option for teams without in-house technical expertise.
As businesses grow, however, the equation starts to change. Teams become more comfortable with automation, AI, and low-code platforms, and many of KayaPush's core workflows can be recreated internally. For operators already using Google Workspace and QuickBooks, that creates an opportunity to reduce recurring software costs while tailoring the system to their own operations.
During our evaluation, we also encountered occasional lag and timeouts within the mobile app that resulted in missed punches, highlighting the tradeoff between an off-the-shelf platform and a solution built around a company's specific workflow.
To help operators already invested in the Google ecosystem, we built an AppSheet-based workforce platform that recreates many of the functions they relied on in KayaPush while integrating directly with Dutchie and QuickBooks. By owning the onboarding process, we can capture employee information, tax forms, electronic signatures, emergency contacts, and identification photos in a single workflow, eliminating duplicate data entry across multiple systems.
For a single location, replacing a $349 per month KayaPush subscription represents an annual software savings of approximately $4,188 per location, while giving operators complete ownership of their workforce data and the flexibility to customize workflows as their business evolves.
What is KayaPush?
KayaPush is a workforce management and payroll platform built specifically for the regulated flower industry. Unlike a traditional HR platform like ADP, Paychex, or BambooHR that serves every type of business, KayaPush was designed from the ground up for dispensaries, cultivators, manufacturers, distributors, and delivery operators.
Its biggest selling point is that it understands the operational quirks of the industry—hourly workers, changing schedules, strict labor compliance, and integrations with the software operators already use.
Integrations & Hardware
One of KayaPush's strengths is connecting workforce data with retail systems.
They advertise integrations with several industry POS platforms so labor scheduling can be compared against actual sales.
KayaPush is a cloud platform, so it doesn't require proprietary punch clocks or biometric terminals. Employees can generally interact with it using:
iOS phones
Android phones
Tablets
Desktop or laptop browsers
Shared kiosk devices for clock-in/out
What does KayaPush do?
At its core, KayaPush replaces several separate HR and workforce tools including Employee scheduling, Time clock and attendance, Payroll processing, Employee onboarding, PTO and time-off management, Shift swapping, Labor cost forecasting, HR document management, Internal messaging, Multi-location workforce reporting, Geofenced clock-ins for cultivation and delivery teams
Instead of managers building schedules in Excel, employees texting each other about shifts, and payroll manually totaling hours every two weeks, KayaPush keeps everything inside one platform.
Pricing
Current pricing is:
Growth Plan: Starts at $349 per location, per month
All-in-One Plan: Starts at $449 per location, per month
Enterprise: Custom pricing based on the number of locations and business needs.
A few things stand out:
Pricing is per location, not per employee.
They advertise unlimited employees and unlimited administrators on both standard plans.
There are no long-term contracts; billing is month-to-month.
Payroll, scheduling, time tracking, onboarding, HR compliance, and reporting are bundled into the base price rather than sold as separate modules.
